An Approved status on GDMS relates only to the information about the Report stored on the system. It does not infer anything about the quality or accuracy of the Report itself, and you must ensure the document is suitable for your purposes.
Each Report on the GDMS system has a Details page, where all the information about the Report can viewed, including the PDF Report Record.
It is also the starting point to make any changes to the Report using buttons on the Command Bar.
From this page you can:
View all the information about the Report stored on the system.
Edit the information and its location, and view historic versions to understand changes over time using the Audit Log.
Upload, View and Download the PDF Report Record if available.
Upload, View and Download the Report Certificate if available.
Access the details page for Linked Geodatasets.
Apply the Records Management Cycle, where appropriate.
The various ways you can find and navigate to the details page for a Report are described below.
The Reports Summary Grid lists summary information for Reports.
You can access it at Main Menu > Reports > Reports Summary.
Filter and sort the grid on the various fields to find the particular Report you are interested in.
To view the details page for an object, select it and click View Object on the command bar.
You can export the currently filtered list of Reports as a CSV for analysis outside of the system by clicking Export to CSV on the command bar. See here for further guidance on this tool.

The text within Reports can be searched for with exact matches, see here for more details.
Reports can be searched on the map using Map Geometry Search functionality.
Reports can be searched by the selecting an IAM-IS Maintenance Segment from the map, as detailed here.
only Reports linked to the same road as the Segment and with extents that intersect the Segment will be returned using this search.
Reports can found using prefix code 'Re:' with the Report Id using Quick Search. E.g. entering 'Re: 1234' would direct you to the details page of Report 1234.
A Report can optionally be linked to one or more Geodatasets.
By navigating to the Details page for the Geodataset, you can quickly navigate to the linked Report and vice versa.
