To approve GAD objects, Manager level access is required for the GAD module for the specific Area that the objects are associated to (see Access Levels).
See here for how to check your current access level. See here for how to apply for a change in access level.
To ensure that data held on the system is as high quality as possible, certain GAD objects need to be approved by a GAD Manager (typically the GMLE or Deputy GMLE) after they are Created or Edited. Approving an object changes the status from Preliminary to approved. The following GAD objects need to be approved by a GAD Manager:
Geotechnical Asset (once approved cannot be returned to preliminary Status, even if edited)
Inventory Item
Inventory Set
Condition Item
Condition Set
Slope Geometry
You can see whether an object needs to be approved by seeing if it has preliminary status from its details page or from a summary grid. The dashboard module has items for any different Preliminary objects and is an easy way to see any objects that need approving.
To approve an object, first navigate to its details page. You should then check the following, using the object specific checklists to help:
You have Manager permissions for the GAD module in the relevant Area.
Mandatory fields have been completed.
Associated objects are already approved.
When approving items you should sense check and be happy that the data recorded is an accurate representation of what exists.
If any issues are identified, you will need to either Edit the object yourself, or liaise with the original creator/editor directly (the system does not include a workflow to 'return' the object to the editor for action).
Once you are satisfied everything is correct, click Approve on the command bar. A banner will then appear to confirm whether you want to approve the request or cancel it. Click Yes to complete the approval.
The system will perform a number of verification checks at this stage, and display an error message if an issue is identified.
If everything is ok, the object will be approved! An entry is automatically added to the Audit Log to record the change.
The approval will also be recorded as an approve Activity and appear in the grid of activities.
It is suggested that when data is being entered or edited, all data associated with an Activity (e.g. an inspection) is entered prior to the GMLE checking and approving the entered data.
Click on the following items to show checklists of all the things that will need to be done before an object can be approved.
