Editing GAD Data

To edit approved Geotechnical Assets, Manager level access is required for the GAD module in the relevant Area (see Access Levels). Editor level access is required to edit preliminary Assets and other GAD objects.

GAD data on the system can and should be edited to make sure it reflects reality as closely as possible.

Data will need to be edited when new information is available which either adds to the knowledge of the object (e.g. a newly unearthed as-built drawing) or identifies a change (e.g. deterioration identified during an inspection).

Editing GAD Data

To edit an objects data (other than location), first navigate to its details page, then click Edit on the Command Bar.  A form will appear for you to edit the data.

To edit an objects location (and calculated properties such as length) navigate to the Location section for the object, then click Edit on the command bar. You will then be directed to the locating process.

To edit the composition of a set, navigate to the item section for the object, then click Edit Set Composition on the command bar. You will then be prompted to add additional items from grid in the right panel, or remove items already in the set from the grid in the left panel. This process is the same as when creating sets.

You will be asked to associate the edit with an Activity, to record the source of the new information. This can be an existing Activity, or you can create a new one at this stage.

You should now liaise with a GAD Manager to Approve the objects.

Records on GDMS are no longer 'Superseded' and replaced by a new record when a change is made, as occurred on the legacy system. Instead, the record is Edited, with the object ID remaining. An entry is added to the Audit Log to record the changes. Historic versions of an object can still be viewed.

Editing Objects and Change of Status

In general, after editing an object its status will revert to preliminary, if it was previously approved. The exception is Geotechnical Assets which if approved, remain so.

The table below lists the associated objects which when an object is edited will revert to preliminary status if previously approved.
