To create or modify a News article Manager level access is required for the Notifications Module (see Access Levels). See here for how to check your current access level. See here for how to apply for a change in access level.
A form for creating a News article is accessed at Main Menu > News & Notifications > Create Article
For each article the following should be populated:
Title - A headline for the article, which will be searchable by users
Body - The main content of the article.
Category - Select the most suitable category from the pre-defined list.
Display on Front Page - Should the news article be shown on the front page? Select for important articles or those which contain information which is relevant before users login (e.g. planned system shutdowns).
Include in Archive - Should a permanent record of the article will be retained after the Expiry Date (accessible to users with Manager level access only. [Is it?])? In general this should be permitted, although deselect if the article contains sensitive information.
Issue and Expiry Date - Defines the period within which the article will be available to users with Default permissions. The issue date can be in the future if you would like to schedule the release of future articles.
Create a Notification - Should a Notification be sent to all users when the article is issued? Use for important articles, and those which will be of general interest.
Once complete, click the Save icon on the Command Bar and the article will be created.
In general news articles should be as concise as possible, and focus on the key facts.
Provide links to further information, where detail may not be of general interest.
For longer articles, use the formatting tools provided to structure the content and make it as easy to read as possible.
An existing news article can be edited from the News Summary page.
Select one or more articles, then click the Delete button on the Command Bar.
An archive of deleted and archived news articles is retained on the system for record purposes. Manager level access is required for the News Module to view archived articles.
An existing news article can be edited from the News Summary page.
Select a single article, then click the Edit button on the Command Bar.
A form to edit most aspects of the news article will be displayed.
The notifications associated with a news article can be edited from the News Summary page.
Select a single article, then click the View Notifications button on the Command Bar.
From here existing associated notifications can be edited, and new notifications can be created.
If you would only like to send a notification to some, but not all, users you should not check Create a Notification when the article is created. Instead, create a News Notification separately, where you will be able to define the distribution by access permissions, e.g. limited to GAD Managers in Area 4. Note however that the news article itself will be visible to all users irrelevant of whether they receive a notification.
